Accounts Receivable Management Guide
What is accounts receivable aging?
An accounting technique that classifies customer balances by time past due to assess collection performance, credit risk, and credit decisions.
Why is the due date preferred?
It reflects the agreed credit period. Using the invoice date alone may show a delay before payment is actually due.
Is the calculated provision final?
No. It is an analytical estimate based on the selected rates and should be aligned with the entity’s accounting policy and expected credit loss model.
What should be done first when old receivables rise?
Identify the highest-value and most overdue customers and invoices, document collection contact, review disputes, then adjust credit limits and terms.
How should the collection health score be read?
An indicative score out of 100 that declines as overdue exposure, balances over 90 days, risk concentration, and estimated provision increase.
How often should the report be reviewed?
Review it weekly for operational follow-up and monthly before closing, comparing movements and updating collection actions and credit limits.
How to Use the Accounts Receivable Aging Tool
- Enter the entity name and report date, then select the aging basis.
- Select a provision-rate model or enter custom rates.
- Enter invoices manually or download, complete, and upload the Excel template.
- Correct warnings related to dates, amounts, or missing data.
- Run the analysis, review priority customers, then save the standalone report.
Quick Practical Example
If open receivables are 50,000 and balances over 90 days are 12,000, the old-balance ratio is 24%. The tool identifies the customers and invoices behind the exposure, estimates the provision, and prioritizes collection follow-up.
Core Methodology
Outstanding balance = invoice amount − collected amount − credit notes. Debt age = report date − due date. Estimated provision = bucket balance × selected provision rate.
