What is bank reconciliation?
Bank reconciliation compares the balance shown on the bank statement with the balance recorded in the company’s accounting records. The objective is to explain timing differences, identify errors, record bank-only transactions, and determine the correct cash balance at the end of the period.
- Outstanding checks that have been recorded in the books but have not yet cleared the bank.
- Deposits in transit that appear in the books but have not yet appeared on the bank statement.
- Bank charges, interest, direct debits, or collections recorded by the bank but not yet entered in the books.
- Duplicate entries, incorrect amounts, or other posting errors that require correction.
Frequently asked questions
No. Automatic matching reduces manual work, but probable matches and unmatched transactions should still be reviewed before the reconciliation is approved.
The bank balance comes from the bank statement. The book balance is the amount recorded in the company’s bank account ledger before reconciliation adjustments are posted.
How to use the Bank Reconciliation Tool
- Enter the company, bank, account, period, bank-statement balance, and book balance.
- Upload the bank statement and company-book transactions using Excel or CSV, or enter the transactions manually.
- Smart matching starts automatically once both datasets are available. The tool compares references, amounts, and dates, then updates the matching results.
- Review probable and unmatched items. Add the appropriate reconciliation adjustments, such as bank charges, outstanding checks, deposits in transit, or corrections.
- Review the adjusted balances and final difference, then export the completed report to Excel or save it as PDF.
Worked example
Assume the bank statement shows a balance of 5,150 while the company’s books show 5,140. The statement includes a bank charge of 10 that has not yet been recorded in the books. The tool identifies the difference and recommends the appropriate book-side adjustment. After recording the charge, both adjusted balances become 5,140 and the reconciliation difference becomes zero.
